How to request an absence

In order to request an absence, users should follow these steps below.


Step 1- From the home page select "Self-Service" from the navigation menu.


Step 2- Select the "My Absences" tile from the available tile list .



Step 3 – Select the "Add Absences"



Step 4- Select the "Absence Type" from the drop menu.


Step 5- Select from the drop down menu whether a 'full day' or 'half day' absence is being requested if required.


Step 6 - Enter the "Start Date""End Date" and a "Comment" if you wish and select "Request Absence".



Step 7- If you wish to submit this request select "OK", if you change your mind you can select "Cancel".


The Summary Tab

The Summary tab allows users to check the status of an absence request,

From the drop down menus select the type of absence,  the date period,  Status.

A request can also be cancelled from this screen.




HANDY HINT -  If your employer requires management approval for an absence you will receive this message.  Your holiday is not booked until the Manager approves it.


HANDY HINT  - If you click on the date the holiday has been booked you can see details and notes.



HANDY HINT - If you have not yet been assigned to a holiday group, this means the system cannot determine if there are enough slots available for you to submit an absence request.  (I.e. cannot determine how many staff are currently off on these dates to check if your request is valid).



HANDY HINT - If the name of your manager has not been assigned to your staff member record, the system cannot determine who to send your request to for authorisation.

HANDY HINT - The administrator will set the amount of notice employees must provide in order to make a request for annual leave.  If the request you have made is less than the required amount of notice, you will receive a message similar to this which will prevent you from making the request.  If your request is urgent, please speak to your manager as this will need to be booked manually on your behalf.




HANDY HINT -  The administrator will set the maximum number of days in a row that you are able to make a request for annual leave.  If the request you have made exceeds that number of days in a row, you will receive a message similar to this which will prevent you from making the request.  If your request is a special case, please speak to your manager as this will need to be booked manually on your behalf.




HANDY HINT - The system will not allow you to make a request for absence in the past.  If for any reason an absence request needs to be booked in the past, your manager will need to do this manually on your behalf.



HANDY HINT -  If your rota has not been generated for the dates of absence you are requesting, the system cannot determine the number of days or hours to subtract from your annual leave or lieu balance, and therefore you will receive a message as per the above example.  Please speak to your manager who can then assign your shifts to the rota, and you can then re-submit your request.
