Creating new ‘Absence Types’ and assigning primary and secondary reasons
New ‘Absence Types’ can be created in the system using the following steps:
Step 1- Select the ‘System Configuration’ tab.
Step 2- Select 'Absences Types'
Step 3- Click on the orange X in the bottom right hand corner to create a new 'Absence Type'

Step 4– Enter the details by using the drop-down menus or by typing in new data. You can use the scroll bar on the right hand side to navigate.

Step 4 – Select ‘OK’ to create the new absence type.

HANDY HINT 1: When creating your ‘Absence Types’ consider how you want the staff to be able to book their leave for this ‘Absence Type’ within the system. If they should only be able to request days and half days, the ‘Absence Type’ should be created as a day’s absence type. If you would like them to be able to request a particular number of hours for a booking or request a number of hours as a part booking for example, it should be created as an hour’s absence type.
HANDY HINT 2: Once the ‘Absence Type’ has been created it will need to be assigned to an ‘Absence Type’ group. If the ‘Absence Type’ group this new ‘Absence Type’ is part of is not yet assigned to a ‘Contract’, the contract will need to be created and assigned the relevant ‘Absence Type’ group.
Staff will then need to be assigned the appropriate contract in order that this ‘Absence Type’ is available to them.
Please note: When a contract is assigned to a staff member, the relevant ‘Absence Types’ will only appear for use against the staff member once the overnight process has run in the system to pick up the relevant contract changes. Therefore, users should be aware that they will need to wait until the next day for the ‘Absence Types’ to become available, following making an absence booking.
Following selecting ‘OK’, the pop up will slide to the right and the user will be returned to the ‘Operational Area’ in the ‘Admin’ screen.
