Adding an employee to the rota - assigning a location

If a team member is required to appear in additional rota locations to their principal site they will require a 'location allocate' to be added to the their record. You can do this via the Rota or via the team member's HR record.

Adding staff via the rota

From the rota, ensure you are viewing the location you wish to add the team member to and select the Add employee to rota icon which is situated above the first employee within the rota.

Begin typing the staff member's name into the Search for Staff field and select the staff member when they appear.

Select the dates you would like to add the team member to this rota for. For indefinite allocation to the rota please use the 'Open Ended' option.
Select Add or Add & Close if you wish to add further team members to the rota.

Handy Hint: The team member will initially appear at the bottom of the rota. When the rota is next refreshed the employee will show in the rota in alphabetical order and no longer show at the bottom.

Handy Hint: If the employee has shifts at a different location they will show on the new location in a red box to indicate that the shifts belong to a different location.

Adding staff via the HR record

From Admin | Staff Admin | Staff open the staff member's HR record and select the Locations tab
Select Add Location Allocate

Select the location you would like to assign the team member to
Select the dates you would like to assign this location for
Select OK/Save

Add a Location Allocate to multiple staff members

If you wish to add a Location Allocate to multiple staff members at the same time you can do this from the Staff Admin screen:

Select the team member's records that you wish to add the access role to so that the blue tick displays.
Select the orange plus [+] icon at the bottom right of the screen.
Select 'Add Location Allocate'.
From the pop up, select the required location.
From the pop up, select the dates you require the Location Allocate to be added for
Select Save
